PROTECTION OF PRIVATE PERSONAL INFORMATION HELD BY GEO RENEWABLE ENERGY (PTY) LIMITED (“GEO RENEWABLE ENERGY”) – ITS SUBSIDIARIES AND ITS DIVISIONS (SA Company Registration number 2021/139146/07)
The Protection of Personal Information Act of South Africa (Act No. 4 of 2013, known as POPIA) regulates the lawful collection, processing, and protection of personal data in South Africa.
GEO RENEWABLE ENERGY maintains a policy manual to ensure compliance with POPIA. This policy applies to all data subjects connected to the company, including employees, customers, suppliers, contractors, and professional service providers who formally interact with the company in any capacity. The company operates in the rental, electricity generation and storage sector, where handling of personal and financial data is an integral part of its rental and sales activities.
GEO RENEWABLE ENERGY recognises that personal information, as defined in Chapter 2 of POPIA, includes identity details, contact information, demographic data, financial and employment records, and other identifiers such as photos or biometric access information. GEO RENEWABLE ENERGY collects such information only when necessary, typically during credit vetting or a new rental or trade account contractual engagement, that is subject to the individual’s consent.
Personal data stored within the company’s systems is managed in a way that safeguards its integrity and restricts access only to authorised individuals. Consent for collection and processing is a key principle, especially for credit-related data in rental contracts, where applicants must explicitly agree to such processing.
The GEO RENEWABLE ENERGY Information Officer is responsible for ensuring compliance with POPIA. The duties of the Information Officer include: obtaining customer consent for credit applications, maintaining an up-to-date POPIA policy accessible to clients, liaising with the Information Regulator, responding to data subject enquiries, educating employees on data protection practices, and monitoring secure access to confidential files.
The company’s IT systems, data storage, and access protocols are aligned with POPIA requirements, ensuring that both personal and special personal information are protected against unauthorised processing.
GEO RENEWABLE ENERGY enforces its policy through monitoring, staff training, standard operating procedures, and regular audits.
Breaches of the above policy are taken seriously. Any reportable incident, enquiry under POPIA or known breaches should be reported to the Information Officer of the Company at e-mail george@solm8.co.za
